As a small business owner, one of your primary goals must be to make your business more productive. But if you’re currently at a loss for ways on how you can boost efficiency in your business, you’ve come to the right place. Here are the top five ways you can make your small business more efficient right now.

1. Switch from manual faxing to electronic faxing

Is your business still using a traditional fax machine? If so switch to an online network fax system right away. Online faxing will make things far more efficient for your business because you’ll be able to send faxes in a matter of seconds rather than having to wait ten to fifteen minutes in front of a machine. Furthermore, you’ll be able to reduce paper and labor costs as well.

2. Consistently give feedback to your employees

How can your employees do any better if they don’t know how you want them to do things? Giving your employees continual feedback and positive words of encouragement is crucial to keeping their spirits up and helping them do better. If someone completes a task or project in a way that you don’t want, rather than berate or yell at them, simply tell them you appreciate their hard work and then outline how you would like them to change it and do things in the future.

3. Automate as much as you can

In order for your business to remain truly competitive, you need to automate as much of your work as you possibly can, from sending receipts to paying your employees and so on. Many companies begin to look at automation because they have a big unyielding process they know takes up too much time and money.

Automate the easiest processes first, building a culture within the company that embraces “automation”. Automating much of your monotonous work will allow your business to save money and your employees to save time, so it’s a win-win situation.

4. Don’t multitask

We’re often told that multitasking is a good thing because it supposedly enables us to get more done at once. But the reality is that usually, just the opposite happens because we become so overwhelmed with tasks and as a result, we aren’t able to do as good of a job as we could. For this reason, discourage your employees from multitasking and instead encourage them to only tackle one project at a time.

5. Schedule meetings well in advance

Last but not least, plan any meetings with your employees at least a week in advance so they can plan it ahead in their schedules. If you call a spur of the moment meeting (and especially if you call such meetings repeatedly), it will interrupt your employees’ workflow and harm their productivity, and in turn, harms the efficiency of your business as a whole.
